What is CrateFlo?

CrateFlo is a fulfilment platform built for independent record labels, artists and music businesses. We store inventory, connect sales channels, import orders, pick and pack products, ship worldwide and return tracking information to the connected store where supported.

What products can CrateFlo fulfil?

We are designed for vinyl records, CDs, cassettes, apparel, accessories, books, printed material and approved music merchandise. Large, fragile, hazardous, perishable or restricted products require approval before they are sent to us.

Where are your warehouses?

Our European fulfilment operation is in Valencia, Spain. A United States fulfilment location is planned and will be marked as available once operational.

Which stores can I connect?

CrateFlo is being designed to support Bandcamp, Discogs, Shopify and Acid Nation. Additional integrations may be added over time. Availability may depend on platform API access and account eligibility.

Do Spotify merch orders come into CrateFlo?

Spotify merch sales are generally processed through the connected Shopify store. When your Shopify store is connected to CrateFlo, qualifying orders can enter the same Shopify fulfilment flow.

How do external orders reach the warehouse?

After you authorise a supported store, CrateFlo retrieves eligible orders and their delivery information. Products are matched to warehouse SKUs, inventory is reserved, and the order is added to the fulfilment queue.

What happens after an order is shipped?

The parcel receives a tracking number and shipment status. Where supported by the original sales channel, CrateFlo sends the fulfilment and tracking update back to that platform.

How much does fulfilment cost?

Our planned standard pricing begins at €3.00 per shipment for 50–499 monthly shipments and €2.75 for 500–999 monthly shipments. Each additional item in the same shipment is €0.20. Carrier postage, storage and optional services are charged separately. Final pricing is shown on the Pricing page or in your service agreement.

What is included in the first-item fulfilment fee?

The standard first-item fee is intended to include order processing, picking the first item, packing it in a standard approved mailer and generating the shipping label. Special packaging and inserts may cost extra.

How do I pay for external-platform orders?

External orders may use a prepaid CrateFlo wallet. Fulfilment, postage and additional services are deducted from the balance. Approved larger customers may be eligible for invoicing terms.

How are Acid Nation orders charged?

Where configured, fulfilment and shipping charges for Acid Nation marketplace orders may be deducted from the amount payable to the label.

What happens if my wallet balance is too low?

Orders may be placed on hold until the account is topped up. Low-balance notifications and optional automatic top-ups may be made available.

How do I send inventory to CrateFlo?

After onboarding, you will create or receive an inbound shipment reference, product/SKU requirements and the warehouse delivery address. Inventory should not be sent before the inbound shipment is approved.

How is inventory counted?

We count received units against the inbound shipment information and record available, reserved, damaged and incoming inventory. Any discrepancy should be reported promptly after the intake report is issued.

Can I see inventory and orders in real time?

The CrateFlo dashboard is intended to show stock by SKU, reserved units, pending orders, picking status, shipped orders, tracking, wallet activity and fulfilment costs.

Do you provide discounted shipping rates?

We plan to make commercial carrier rates available where possible. Shipping prices depend on origin, destination, service, weight, dimensions, fuel adjustments and carrier surcharges.

Who is responsible for customs and import charges?

The label or merchant is responsible for accurate customs information and agreeing who will act as importer of record. Duties, taxes and brokerage charges may be payable by the sender or recipient depending on the selected service.

Can you handle returns?

Yes. Returns can be received, inspected and handled according to your instructions. Items may be restocked, quarantined, returned to you or disposed of. Returns fees may apply.

What if a parcel is lost or damaged?

Contact CrateFlo promptly with the order and tracking details. We can help submit an eligible carrier claim, but approval and compensation are subject to the carrier's terms and evidence requirements.

Can I use custom mailers, stickers or inserts?

Yes, subject to warehouse approval and available stock. Custom packaging, flyers, download cards, stickers, signed items and bundle assembly may be offered as paid optional services.

Can I cancel an order after it has entered fulfilment?

Cancellation may be possible before picking begins. Once an order is picked, packed, labelled or handed to a carrier, cancellation may not be possible and handling or postage charges may still apply.
